Effective October 18, 2026.
This policy explains what personal information the Pikesville Improvement Corporation (“PIC,” “we”) collects through this website, why, who can see it, how long we keep it, and the choices you have. We collect only what we need to serve the community, and we never sell, rent or trade personal information.
1. What we collect
- Account details: your name, email address, username and password. Passwords are stored only in encrypted form; no one at PIC can see them.
- Profile answers: your ZIP code (required), and, only if you choose to share them, your neighborhood, age range, household size, connection to Pikesville, interests and how you heard about PIC. Business and organization members also provide their business name and type, and may add size, address and website.
- Membership and payment records: your membership level and dates. When online payments are offered, they are processed by Stripe; PIC never receives or stores your card number. We keep a record of amounts, dates and the last four digits of the card for our financial records.
- Participation: event RSVPs, photos and captions you submit, and messages you send through the contact form, including any phone number you choose to give.
- Sign-in with Microsoft or Google (optional): if you choose it, we receive your name and email address from that service. We never receive your Microsoft or Google password.
- Security information: to protect accounts and the website from attacks, our security software records IP addresses, login attempts and suspicious activity.
We do not use advertising, tracking or analytics cookies, and we do not collect information about you from data brokers.
2. How we use it
- To create and manage your account and membership, including confirmation emails, receipts and renewal notices.
- To reply to your messages and manage event RSVPs.
- To send PIC’s email updates. When you register, you are added to our updates about events, meetings, membership and community projects. Every update includes an unsubscribe link, and unsubscribing does not affect your account.
- To understand who PIC serves. Profile answers are reported only as totals (for example, “40% of members live in 21208”), never as individual records.
- To keep the website secure and prevent fraud and spam.
3. Who can see it
- Your profile answers, contact details and membership records can be seen only by you and by the PIC volunteers who administer memberships, using individual, password-protected accounts. Volunteers are bound by these privacy rules and may not share individual records outside PIC.
- Contact-form messages can be seen by the PIC volunteers who answer them.
- Public information: only what is meant to be public is shown on the website: published photos and captions, the credit name you give with a photo, business directory listings, and the names, roles and bios of board members.
- Service providers process information only to run this website for us: our web host (InterServer), Microsoft 365 (email delivery and optional Microsoft sign-in), Stripe (payments, when offered), and, if you use it, Google sign-in. Each is required to protect the information.
- Legal requirements: we disclose information only when required by law, such as a valid subpoena or court order, and only to the extent required.
4. How long we keep it
- Account and profile information: while your account is open. When you close your account, we delete your profile answers within 30 days.
- Membership and payment records: up to 7 years after the related payment, as needed for financial and tax records, then deleted.
- Contact-form messages: automatically deleted 24 months after they are received.
- Photo submissions: published photos remain until you ask us to remove them; declined submissions are deleted.
- Login security logs: automatically deleted after 30 days. Firewall records are kept only as long as needed to protect the website.
5. Your choices and rights
- View and update your information at any time in My Account.
- Unsubscribe from email updates at any time using the link in any update.
- Ask us for a copy of your personal information, to correct it, or to delete it and close your account, by emailing ContactUs@PikesvilleImprovement.org. We will confirm your identity by replying to the email address on your account and will complete your request within 30 days. We will tell you if we must keep any record for legal or financial reasons, and why.
- Ask us to remove a photo of you or a photo you submitted (see our Terms of Use).
6. Security
The website uses encrypted connections (HTTPS), a firewall, login-attempt limits, strong-password requirements and email confirmation for new accounts. Administrative access is limited to the volunteers who need it, each with their own account. Online payments are handled entirely by Stripe. If we learn of a security breach that affects your personal information, we will notify you by email without unreasonable delay, as required by Maryland law.
7. Children
Accounts are for adults 18 and older. We do not knowingly collect personal information from children under 13. If you believe a child has given us information, email ContactUs@PikesvilleImprovement.org and we will delete it.
8. Changes to this policy
If we make a material change, we will post the new version on this page with a new effective date and email registered users at least 30 days before it takes effect.
